Exizent Correspondence feature

Templated correspondence feature launched by estate administration software

Legal technology provider Exizent has announced the launch of a new feature to its platform that enables firms to send templated letters to financial services providers, law firms and families, reducing admin and improving accuracy say the firm.

The correspondence feature,  developed following user feedback, means fully automated letters can be created in seconds using templates or built from scratch within the platform, ‘streamlining the volume of communication required in estate administration’. Account details, financial institution names and addresses are automatically populated for accuracy from details already within the platform.

Exizent Co-Managing Director Philip Nairn said the functionality reduced the administrative burden, and risk associated with ‘time-consuming, repetitive work’ legal teams undertake  as part of the ‘steady flow of letters to banks, building societies, trustees, executors and beneficiaries’ involved in estate administration.

“Our clients have been asking if we can support and help improve their experiences of communication and we are pleased that the new feature now solves their challenges, by automatically pulling information from the case file and from the Estatesearch Group’s institution bereavement database, saving time, reducing errors and inconsistencies. Templates also ensure a standardised approach across the firm, presenting a professional image every time.

“This important development is one more step in our mission to make probate faster, easier and better connected by helping firms communicate more clearly and accurately while keeping cases moving forward.”

Estate planning firm Squiggle Consult have been using Exizent for three months and say the software has ‘really streamlined and simplified’ business operations.

“The platform makes our processes much more efficient, and we particularly value the ability to upload documents directly into each institution’s section” said Anna Barker, Operations Director at Squiggle Consult.

“The automatic creation of the assets and liabilities schedule from the information we’ve input throughout a case is also a huge time-saver. We have recently trialled the new Correspondence feature which has been a game changer for us, allowing us to personalise templates which saves us so much time. Exizent has quickly become an invaluable tool for our team.”

The new correspondence feature is one of a number of innovative solutions developed in line with customer feedback said Exizent; highlighting the example of identifying and auto filling documents such as the IHT400 form, in addition to the production of estate accounts once the details of estate assets are confirmed.
